Integrate Infusionsoft with TimeTrade

Today is an exciting day for many Infusionsoft users. We have completed an integration with the popular online appointment scheduling software, TimeTrade. If you’re already familiar with TimeTrade, feel free to skip the next paragraph.

We use Email to CRM to extract important data from the appointment confirmation email, and use that data to add/update records in Infusionsoft, run unique action sets depending on appointment criteria and last but not least – create an appointment in the appropriate users Infusionsoft calendar.

    Will I be able to set it so that when someone schedules, the action set that starts to run is dependent on the date of the appointment? Or only the date on which they schedule?

    For example, today someone schedules for 12/15. I want them to receive a particular notice one week before, or 12/8. Can I set that up with this product, to run an action set 1 week before their appointment, or will the action set start to run based on the day they schedule?

      Anne, this is a great question. The action set runs immediately however, with either follow-up sequences (legacy) or the new campaign builder you can use a delay timer to schedule based on the custom field values we pass from TimeTrade into Infusionsoft. There are a couple different approaches you can take and I’d be happy to talk through those with you.

      So again, whether you start a follow-up sequence with delay steps upon the appointment being scheduled or simply apply a tag which completes a goal to kick off a campaign, you definitely have options to do what you’re asking.

    What happens when Timetrade changes their email format?

      That’s a great question John. While this hasn’t happened with TimeTrade;s email notificaiton, we’ve seen other sources change their email format. It usually take a few minutes to update your extractions to match the changes made, and then you’re on your way again. We have actually put in a request with TT to notify us in advance should they decide to make any format changes. Assuming they provide that level of communication for partners, we will be able to prepare a new extraction template so that our users can implement it simultaneously with out skipping a beat.

    I’m wondering if I’m able to make setting a timetrade appointment a goal in Infusionsoft so that when they make an appointment, they are automatically removed from a sequence and can be added to another.

    Please let me know if this is possible

      Hey Matt, the strategy would be to use a tag goal. Then when an appointment is set in TimeTrade, it pings Parsey and Parsey applies the tag you have set up as a goal. I’d also recommend removing that tag in your campaign immediately after so that someone can cycle through the campaign multiple times. That is of course, unless you want them to go through the process only once and prevent future occurrences.
